Tier 03 / Foundation · CRM & RevOps

A CRM your team trusts,
and numbers the business
can build on.

We architect your CRM around how you sell, turn scattered data into one record every team trusts, and put that data to work: routing, scoring, and forecasts your leadership believes.

CRM architecture

We structure your CRM around how your business sells.

You get a CRM that finally matches how your deals move: pipelines that fit your process, lifecycle stages every team reads the same way, and the fields your reporting has been missing. Whether we build it fresh or rescue the instance you already have, your history comes across whole.

One source of truth

We turn scattered data into one record every team can trust.

You stop wondering which version of a company is the real one. Duplicates merge, formats get cleaned, and anything new is checked on the way in, while enrichment keeps filling the gaps. The record your team opens is one they can trust, months from now as much as today.

Data, activated

We put that data to work: routing, workflows, and forecasts your team trusts.

Your leads reach the right rep in seconds instead of sitting in a queue. Deals can't skip the fields that matter, and because every number rolls up from clean records, the forecast you take into Monday is one nobody needs to argue about.

The problem

From CRM chaos
to one record everyone trusts.

The problem is almost never the software: it's that nothing keeps the records honest, so every team quietly trusts its own spreadsheet instead. We rebuild the structure and wire the workflows that keep one clean record true, until it's the version the whole company runs on.

Without the engine

Nobody trusts the CRM, so nobody uses it.

Three records for the same company, all different
Reps keep their real notes in spreadsheets
Every pipeline review starts with an argument about the numbers
Automations nobody remembers building fire at the wrong people
Data rots quietly between annual cleanup projects

With the engine

One record, one set of rules, running on every write.

One clean record per company, kept true automatically
A CRM structured around how your business sells
Routing and scoring enforced automatically by rules
Records that update themselves as the world changes
One forecast, trusted on Monday morning

What you get

Here's everything
we build for you.

Picture a CRM that finally works the way you sell, instead of making you work around it. Your pipeline mirrors how deals really move, the workflows behind it keep every record clean and current, leads get scored and handed to the right rep the moment they land, and Monday's forecast becomes a number nobody argues with. Click any piece to see the work behind it.

How we work

We build it with you.
Then it's yours.

No 80-page deck handoff. We diagnose, build inside your stack, embed with your team, and the system gets sharper the longer it runs.

1
Week 1–2

Diagnose

Audit your data, stack, and sales motion. Identify the highest-leverage workflows to wire first.

You'll see
  • A written diagnostic of where pipeline is leaking right now
  • A ranked list of 3–5 workflows we'd build first, with expected impact
  • A clear scope, timeline, and what success looks like at week 7
What we'll need
  • Read access to your CRM and outbound tools
  • One ops/RevOps lead, ~3 hours that fortnight
  • Last 6 months of pipeline + win-loss data
2
Week 3–6

Build

Inside your stack, end to end. Workflows, integrations, and AI pieces engineered to your motion.

You'll see
  • Workflows going live one-by-one inside your own CRM
  • Weekly demo of what shipped + what's next
  • The first qualified pipeline come through the new system
What we'll need
  • Admin access to wire integrations (HubSpot, ad platforms, your CMS, etc.)
  • 2–4 hours/week from a marketing lead for QA on campaigns and creative
  • Approval on a small monthly tool + media budget
3
Week 6–9

Embed

Train your team to operate it. Documentation, runbooks, and the handoff so the system stays with you.

You'll see
  • Screen-recorded runbooks for every workflow your team will operate
  • A 60-minute live training with your ops + sales leads
  • The system fully owned by your team, with us on standby
What we'll need
  • 2 hours from each rep/operator for the live training session
  • One ops lead designated as the long-term owner
  • Sign-off on the documented runbook library
4
Ongoing

Compound

Monthly tuning, model retraining, and new workflow layers as your motion evolves. The engine improves with use.

You'll see
  • Monthly performance review · what's working, what to retire
  • Retrained scoring/personalization models off your latest data
  • New workflow layers added as your motion expands
What we'll need
  • 30–60 min monthly review with the RevOps lead
  • Ongoing access to read CRM signals + reply data
  • Light retainer or build credits · cancel any time
The living workflow

Built once.
Then the workflows keep it current.

We build it inside the CRM you already run, shaped around how you sell. After that it stays built: the workflows handle the upkeep, so keeping records clean stops being anyone's job.. Every record that lands in it gets structured on arrival, cleaned and kept current, and put to work, and what it proves tunes the model underneath.

why a wheel,
if it is built once?
The build stands still. Your data does the turning: structured on arrival, kept clean, put to work. Every pass leaves the model sharper.
The tools we use

The best tool for each job,
wired into one system.

We start with how you sell and the tools you already run, then choose what fits. Here's what we typically wire together for a CRM & RevOps build.

Questions

Questions we get asked
How long before we see results? +
The build runs in phases: diagnose in the first two weeks, workflows going live inside your CRM from week three, your team trained and owning it by week nine. The first cleaned records and live automations land early, and the foundation compounds from there.
What happens to our data during a migration? +
Nothing gets lost. Every record, deal and touchpoint is reconciled against the source system before we cut over, and you get the reconciliation report. And we only migrate when consolidation genuinely calls for it: most engagements fix the instance you already have.
Will our team really use it? +
That is what the embed phase is for. Every workflow ships with a screen-recorded runbook, your ops and sales leads get live training, and one person on your side is designated as the owner. The system ends up fully yours to run, with us on standby.
What do we need to give you access to? +
Read access to your CRM and outbound tools for the diagnostic, admin access when we wire integrations, and a few hours a week from one ops or RevOps lead. The exact list is spelled out per phase before each phase starts.
Do we have to rip out our current CRM? +
No. Most engagements fix and extend the instance you already have: restructure, clean, automate. A migration only happens when you're consolidating tools or the current setup is beyond repair, and then nothing gets lost on the way over.
Can you work with a non-HubSpot stack? +
Yes. HubSpot, Salesforce, or Pipedrive as the core, and we wire the rest of your stack into it. As long as the CRM has a reasonable API and admin access, the same playbook applies.
